Implemented Analytics

Analytics Dashboard (Story 10.5)

A dedicated, fully built Analytics page (available at Organizer Portal β†’ Analytics, and to partners) presents BATbern statistics as live, data-driven charts β€” designed so organizers can showcase community growth during partner meetings without preparing slides by hand. Built with Recharts (no manual data export needed):

  • Global time-range selector β€” All Time / Last 5 Years / Last 2 Years; time-sensitive charts respond without a page reload.
  • Overview tab β€” 4 KPI cards (Total Events Β· Total Attendees Β· Companies Represented Β· Total Sessions) plus an event-cadence timeline coloured by topic category.
  • Attendance tab β€” attendees per event (bars + trend line) and returning-vs-new attendees (stacked bars), each with a collapsible data table.
  • Topics tab β€” events per category (horizontal bars) and topic popularity vs. average attendee count (scatter plot).
  • Companies tab β€” attendees per company over time, sessions per company, with a Top 5 / Top 10 / All toggle. A logged-in partner’s own company is auto-highlighted and pinned first.

Partner Attendance Analytics Dashboard (Epic 8)

Available to partners at Partner Portal β†’ Analytics. Provides a comprehensive view of each partner company’s participation history across BATbern events:

  • Attendance summary table β€” Event, date, company attendees, total attendance, and percentage
  • Time period toggle β€” Last 5 Years / Full History
  • Cost-per-Attendee metric β€” Partnership investment Γ· attendees (CHF)
  • XLSX export β€” Download the full attendance history as an Excel file

Partners see only their own company’s data. Organizers can access any company’s analytics. See Partner Portal: Analytics Dashboard for full details.

Organizer Workflow Analytics (Epic 5)

Built into the organizer dashboard:

  • Event workflow progress β€” Visual progress bar showing current state in the 9-state machine with completion percentage
  • Speaker pipeline β€” Status breakdown across all speaker states (Invited / Accepted / Content Submitted / Approved / Published)
  • Team Activity Feed β€” Chronological log of organizer actions (edits, state transitions, assignments) with mark-as-read and delete

For the aggregate, cross-event statistics page, see the Analytics Dashboard (Story 10.5) section above.

Planned: Comprehensive Event Analytics Suite

The sections below document planned, not-yet-built analytics β€” post-event satisfaction surveys, NPS, engagement scoring, financial analytics, and predictive insights. They are aspirational and should not be read as currently available. (The shipped, available analytics are covered under β€œImplemented Analytics” above.) Check Feature Status for the current roadmap.

Tips & Best Practices

Maximizing Insight Value

  1. Set Baseline Metrics Early

    • Define target KPIs during event planning (Step 1)
    • Review analytics from similar past events as benchmarks
    • Adjust targets based on event type and context
  2. Capture Data Throughout Event Lifecycle

    • Pre-event: Track registration funnel in real-time
    • During event: Monitor session attendance and engagement
    • Post-event: Deploy surveys within 48 hours (higher response rate)
  3. Combine Quantitative + Qualitative

    • Numbers show β€œwhat” happened
    • Open feedback explains β€œwhy”
    • Use sentiment analysis to scale qualitative insights
  4. Act on Insights

    • Create action items from each post-event review
    • Track improvement metrics in subsequent events
    • Share learnings with organizer team

Advanced Techniques

Cohort Analysis:

  • Track attendee retention: % attending multiple events
  • Identify β€œsuper attendees” (attend 80%+ of events)
  • Analyze dropout patterns: why do attendees stop coming?

Predictive Analytics [PLANNED]:

  • Forecast attendance based on invitation timing and response rates
  • Predict session popularity based on historical topic performance
  • Estimate no-show rates to optimize catering and capacity

A/B Testing:

  • Test two session formats and compare engagement
  • Compare different reminder email strategies (timing, content)
  • Experiment with venue layouts and measure networking impact

Segmentation Strategies:

  • Compare satisfaction by attendee role (architects vs engineers)
  • Analyze engagement by company size (startups vs enterprises)
  • Track topic preferences by industry sector

Troubleshooting

Common Issues

β€œNo data showing for recent event”

Cause: Event not marked as completed, or data sync delay

Solutions:

  1. Verify event status: Dashboard β†’ Events β†’ Check status is β€œCOMPLETED”
  2. Wait 24 hours after event for full data aggregation
  3. Check Settings β†’ Analytics β†’ Data Sync Status
  4. Contact support if still missing after 48 hours

β€œSurvey response rate is very low (<20%)”

Causes:

  • Survey sent too late (>1 week after event)
  • Survey too long (>10 questions)
  • No incentive or follow-up reminders

Solutions:

  1. Send survey within 48 hours of event (while experience is fresh)
  2. Keep surveys under 5 minutes (8-10 questions max)
  3. Send reminder email after 3 days to non-responders
  4. Consider incentive: early access to speaker slides, prize draw

β€œAnalytics show conflicting data (e.g., 110% attendance)”

Cause: Data quality issues (duplicate registrations, check-in errors)

Solutions:

  1. Review raw data: Analytics β†’ Data Quality β†’ Check Duplicates
  2. Verify check-in process was followed correctly
  3. Run data cleanup: Analytics β†’ Tools β†’ Deduplicate Records
  4. Adjust manual count if necessary (note in event log)

β€œCan’t compare across events (missing data)”

Cause: Historical events missing required fields or not digitized

Solutions:

  1. Backfill historical data: Dashboard β†’ Events β†’ Import Historical Data
  2. Focus on recent events (last 12 months) for reliable trends
  3. Document data gaps for transparency in reports
  4. Set data standards for future events to ensure consistency
